Supplier EngagementSupplier onboarding and compliance software
Onboard faster. Reduce risk. Stay compliant.
Stratex Online Supplier Engagement gives procurement, accounts payable and risk teams one portal to onboard suppliers, assess risk with AI-augmented evaluation, verify certificates and track renewals, while suppliers keep their own details current through self-service. Approved supplier data flows straight to your ERP.

Approved projects move faster when suppliers are ready to start
You can approve the capital plan, award the contracts and book the crews. But if supplier registration, insurance certificates and bank details still move by email and spreadsheet, the project waits on paperwork and every supplier record carries risk nobody can see. Supplier Engagement brings the whole process into one portal, so suppliers are approved before work starts and stay compliant for as long as you work with them.
What changes
01
Projects start on schedule
Suppliers are approved before mobilization, so a purchase order can be raised as soon as the work is ready.
02
Every supplier on site is covered
Insurance and safety certificates are verified up front and tracked to expiry, so lapsed cover is caught before it becomes your liability.
03
Payments reach the right account
Suppliers enter bank details through a secure portal and every change is reviewed before it reaches your ERP.
04
AP gets its time back
Suppliers check their own onboarding, invoice and payment status, so status emails drop away.
Who uses Supplier Engagement?
Supplier Engagement is used by five teams: procurement, accounts payable, master data, HSE and compliance, and project managers. Each one works from the same supplier record and owns the part of the work that belongs to them.

What does Supplier Engagement change, and what stays the same?
Supplier Engagement adds a supplier portal, a buyer portal and a compliance engine alongside the systems you already run. Your ERP stays the system of record, purchasing and invoice approval stay in your procure-to-pay process, and your own risk rules are configured into the portal.

How does Supplier Engagement work?
Supplier Engagement invites each supplier into a guided portal, scales risk checks to what they supply, verifies their certificates with AI assistance, and sends approved supplier data to your ERP.
How does Supplier Engagement use AI?
Supplier Engagement uses AI-augmented evaluation on every document a supplier submits, including certificates, policies, questionnaire evidence and contracts. AI summarizes each document and suggests a risk score, and a reviewer accepts or adjusts the result before it counts, so verification is quicker and risk evaluations are more consistent. Role-based access restricts sensitive data such as bank details, and every action is recorded in the workflow history.
Illustrative example
Onboard suppliers without the email chase
Supplier Engagement gives procurement one worklist for every supplier request, filtered by what is waiting, overdue or ready for review, while automated reminders do the chasing.
Supplier portal
Suppliers register, enter their data once, raise queries, and track what is due and their own onboarding status in one place, with a task count and inbox showing what is outstanding for onboarding, renewals and re-screening.
Configurable onboarding workflow
Tasks route to reviewers by team, role and supplier type, with a preview step before each invitation goes out. Approvers see a live task count and can approve by email or on mobile.
Data validation at entry
Global address lookup and country-specific services validate tax and business identification numbers as suppliers type.
Progress tracking and reminders
Due dates, grace periods and automated reminders keep suppliers moving without manual follow-up.
Bulk import and export
Import and export supplier and configuration data as CSV, and onboard suppliers in bulk from Excel.
Supplier user management
A supplier administrator adds and deactivates team members, assigns roles and resets passwords, and role-based restrictions control who sees sensitive data.
Purchase order, invoice and payment status
With your ERP connected, suppliers see open purchase orders and track invoices, approvals and payments in the portal without emailing AP.
Profile and bank detail updates
Suppliers maintain contacts, ordering emails, addresses, sites and bank accounts, and every change goes through review before it reaches your ERP.
Assess supplier risk in proportion to what is at stake
Supplier Engagement assigns assessments based on the inherent risk of the goods, services and engagement, and AI-augmented evaluation reviews the questionnaires and evidence each supplier submits, so high-risk suppliers get deeper scrutiny and low-risk suppliers move quickly.
AI-augmented evaluation
AI evaluates questionnaire responses and supporting evidence such as policies and certificates, and recommends an outcome that a reviewer accepts or adjusts.
Proportional risk scaling
Assessment depth scales with the inherent risk of the product or service and the complexity of the engagement.
Configurable risk questionnaires
Adopt baseline self-assessment questionnaires or build your own, with your own rules for who receives which one.
Automated risk scoring
Risk scores calculate from your criteria so you can categorize suppliers and prioritize review effort.
ESG and sustainability assessment
Safety, sustainability, ESG and other KPI data is collected during onboarding, self-assessment and attestation, and reported against your goals.
Risk and compliance dashboards
Dashboards show supplier risk scores by category, compliance status and a My Suppliers view of what is waiting on review or approval.
Example tiers. You set the checks for each.
Keep every supplier compliant after onboarding
Supplier Engagement keeps certificates of insurance (certificates of currency in Australia), safety certificates and contracts current through expiry rules, renewal reminders and automatic blocking when something lapses.

How is Supplier Engagement different from a source-to-pay suite?
Supplier Engagement, a Stratex Online module, manages the supplier: getting them approved, verified and kept compliant, alongside the purchasing process you already run. Source-to-pay suites manage the whole buying process, from sourcing and contracts to purchasing and invoicing.
| Source-to-pay suite | Supplier Engagement | |
|---|---|---|
| Scope | Sourcing, contracts, purchasing and invoicing | Supplier onboarding, risk and compliance |
| How it is bought | Licensed as part of a wider procurement platform | A Stratex Online module, standalone or with your ERP |
| Risk checks | Configured within the suite | Scaled to what each supplier supplies |
| Certificates | Varies by suite | AI verification, expiry tracking and automatic blocking |
| Time to deploy | Typically a larger program | Typically four weeks CONFIRM |
Supplier Engagement FAQs
What is Stratex Online Supplier Engagement?
Stratex Online Supplier Engagement is supplier onboarding and compliance software. It gives procurement, accounts payable and risk teams one portal to onboard suppliers, assess risk with AI-augmented evaluation, verify certificates and track renewals, and it runs standalone or connected to your ERP.
What is supplier onboarding software?
Supplier onboarding software replaces email, static forms and spreadsheets with a portal where suppliers register, submit their details and upload evidence, and buyers review, approve and send the record to the ERP. Stratex Online Supplier Engagement adds risk-scaled assessment, AI-augmented evaluation and certificate expiry tracking to that process.
Why does supplier onboarding take so long?
Supplier onboarding slows down when it runs across email, static forms and spreadsheets. Procurement chases documents, AP re-keys data into the ERP and nobody can see where a supplier is up to. Risk checks run offline, and certificates are checked once at setup, so an insurance policy can lapse months later without anyone noticing.
Can Supplier Engagement run without ERP integration?
Yes. Many customers run it standalone for onboarding, risk assessment and certificate compliance. When you are ready to connect, approved supplier data can flow to SAP S/4HANA or SAP ECC through pre-built integration, or to other ERPs such as Oracle or Microsoft Dynamics through APIs or middleware.
What happens when a supplier’s certificate expires?
Supplier Engagement counts down to each expiry date and sends the supplier reminders in the frequency and tone you configure. If a mandatory certificate passes its expiry limit, the supplier can be blocked automatically until a valid certificate is uploaded and approved.
Does AI approve suppliers automatically?
No. AI evaluates the certificates, policies and other evidence suppliers submit, pre-fills key fields with confidence indicators, and recommends an outcome for risk questionnaires. A reviewer accepts or adjusts every AI result before it counts, and approvals follow the workflow and roles you configure.
Can suppliers update their own bank details?
Yes. Suppliers update contacts, addresses, bank details and certificates through self-service. Bank detail changes trigger notifications and go through review before they reach your ERP, and role-based access limits who can see or change sensitive data.
Which compliance frameworks does it support?
Supplier Engagement is configured to the framework you choose, including ISO 9001, ISO 27001 and GDPR, along with industry-specific requirements such as FDA, HIPAA and ESG reporting standards. You set the certificates, questionnaires and rules each supplier type must meet.
How long does implementation take?
Typical deployments take four weeks, depending on integration and how much you configure. Stratex Online provides onboarding assistance and ongoing support throughout.
We run SAP. Do we need Supplier Engagement or IQX Project Procurement for SAP?
Use Supplier Engagement when you want a cloud supplier portal for onboarding, risk assessment, certificates and self-service that works with any ERP. IQX Project Procurement for SAP runs inside SAP Fiori and covers vendor creation in the SAP vendor master, requisitions, purchase orders, receipting and invoice approval.
How does Supplier Engagement track supplier performance?
Supplier Engagement tracks key performance indicators such as delivery reliability, quality, contract adherence and sustainability scores. Dashboards and reports show performance trends and flag potential issues for review.
Can we configure Supplier Engagement to our procurement processes?
Yes. You configure the workflows, approval steps, risk questionnaires, certificate rules and reporting dashboards to match your procurement policies, teams and roles.
How is supplier data kept secure?
Data is encrypted, access is controlled by role and multi-factor authentication, and every uploaded file is scanned for malware in an isolated environment. The platform is SOC 2 Type 2 compliant, ISO 27001 certified and regularly audited.
Can we import and export supplier data?
Yes. Supplier and configuration data can be imported and exported as CSV at any time for analysis, reporting or bulk changes, and suppliers can be onboarded in bulk from Excel.
Can suppliers see their purchase order, invoice and payment status?
Yes. When Supplier Engagement is connected to your ERP, suppliers see open purchase orders and track the status of invoices, approvals and payments in the supplier portal, which cuts the status queries that reach procurement and accounts payable.
What can suppliers do in the supplier portal?
Suppliers register, complete risk questionnaires, upload certificates, track their onboarding status and raise queries. After onboarding, they keep their profile, contacts and bank details current, respond to renewal and re-screening requests, check purchase order, invoice and payment status, and manage their own users.
